Define one complete workflow

Start with a business event and a measurable end state: a lead arrives, an AI step classifies it, a person reviews uncertain cases, and the correct record is updated. Write down which system owns the data. An automation that produces a plausible summary but creates duplicate CRM entries has failed. Evaluate the normal path, a missing field, an unavailable service, and a repeated event.

n8n

n8n combines workflow automation with the option to self-host. It belongs on the shortlist when your team needs deployment choices or wants to build around its own technical environment. Self-hosting is an operating responsibility: include updates, backups, credentials, monitoring, and someone who can repair broken workflows. Evaluate the hosted and self-managed options separately. A software plan price alone does not describe the cost of running the system.

Make

Make is oriented around visual scenarios that connect applications and transform data between steps. It is relevant when an operator needs to inspect a branching process and understand how records move through it. Build a scenario with more than one outcome, then test what happens when one branch fails. Check the current credit rules and the number of operations each business event creates. A visually short workflow can still process substantial usage.

Zapier

Zapier offers hosted workflows, app connections, and AI-related products such as agents, tables, and forms. Include it when the priority is linking existing SaaS applications. Inspect the specific triggers and actions for your apps instead of assuming that a listed connector supports every operation. Check polling behavior, task allowances, and any separate AI usage rules. A simple demonstration should include the final write-back to the system your team actually uses.

Estimate the cost of a real business event

Count the entire path from trigger to completion, including retries and human-review steps. Ask each platform how the chosen plan meters that path. Keep model-provider charges separate if the workflow uses an external AI account. Compare a normal week and a busy week, including failed attempts. The profile table records billing context; the right cost comparison is a completed business outcome.

Test recovery before rollout

Run duplicate events, malformed input, an expired credential, and a temporary provider failure against a test destination. Confirm that an operator can see what happened and retry without duplicating the final action. Preserve a manual route for exceptions. Choose the platform whose workflow you can maintain after its original author is unavailable, not simply the one with the shortest setup demonstration.
